The Check-in (Today) page is your central hub for managing all appointments for the current day. It also shows any appointments from previous days that have not yet been checked out.
Key Features
New Appointment Button
- Purpose: Allows you to create a new appointment for any patient.
- How to Use: Click the "New Appointment" button and follow the prompts to enter your appointment details.
Location Selector
- Default Setting: If your clinic has multiple locations, a Location dropdown will be displayed at the top of the page.
- Single Location Clinics: If your clinic has only one location, this section will not appear.
- Switching Locations: Use the dropdown to select another location if:
- You have appointments scheduled at that location for today, or
- There are undischarged appointments from previous days at another location.
Understanding the Columns
There are three primary columns displayed on the Check-in (Today) page, each representing a different stage in the appointment process:
- Unchecked
- Patients who have not yet arrived for their appointment.
- Waiting
- Patients who have checked in and are waiting to see a medical professional.
- If the appointment involves more than one medical professional, and the patient has only been seen and discharged by one, they will remain in Waiting until the next medical professional starts their part of the consultation.
- In Consultation
- A medical professional is currently seeing patients.
- For appointments with multiple medical professionals, each will see the patient as In Consultation when the patient is already in with one of the medical professionals.
Note:
Each column displays the number of appointments it contains at the top left.
Moving Appointments
- Use the Back and Forward arrow buttons on the appointment cards to move patients between columns, depending on their current appointment status.
Appointment Cards: What You’ll See
Each appointment appears as a card with detailed information to help you manage the workflow efficiently:
- Appointment Type Color Bar & Description: Visual indicator of the type of appointment.
- Patient Photo: For quick visual identification.
- Patient Name
- National ID Number
- Date and Time the Appointment was Created
- Medical Professionals Responsible for the Appointment - This will be displayed only on the Administrative profile, as they will view all appointments for the clinic.
- Day and Time of Appointment
Please Note: Once the Appointment is placed 'In Consultation' and Vitals are entered, a blue clipboard icon with a cross will appear and is clickable, showing the last entered vital signs.
Appointment Card Buttons and Icons
- Back and Forward Arrows: Use these arrows to move the appointment card between columns as the patient progresses through each stage.
- Comments (Thought Icon):
- Used for reviewing comments entered when the appointment is created or during edits.
- Comments often include essential notes from the front desk, including vital signs for the doctor’s review.
- Outstanding Bills (Red Paper Icon):
- Highlights any unpaid invoices from previous visits.
- Only invoices (not sales receipts) can appear as outstanding.
- Edit: Make changes to the appointment details as needed.
Quick Tips
- Always check the Outstanding Bills icon before finalizing any appointments.
- Use the Comments section to relay critical information to medical professionals.
- If working across multiple locations, ensure you have selected the correct location to avoid missing appointments.
